Introduction

Feature(s)

Notes refer to the comments made by an approver during an approval process. There are two ways to add an approval comment:

  • Comments
  • Signature

Application Scenario(s)

  • Comments: a common way to add an approval comment
  • Signature: a formal way to add an approval comment

Note:

Currently, the signature is not legally valid.

Where to Set

Take Vehicle Application as an example.

Click Edit to edit the form.

Click Workflow, select the node where an approval comment should be added, and go to Node Properties > Notes to make the settings.

Comments

When enabling Comments, the following settings are supported:

Show Title

The display title for "Comments" can be customized. You can manually enter a custom display title or click the "Restore Default" button in the upper-right corner to revert to the default title.

Required Validation

When handling process tasks, for node operations such as Submit, Return, Reject, Add Approver, Transfer, and End Process, the following three types of required validation are supported:

  1. Optional: Filling in action feedback is optional, and node actions can proceed even if no input is provided.
  2. Required: Action feedback must be filled in for any node action.
  3. Mandatory when specifying actions: Action feedback is only mandatory for specific types of node actions.

Preset Comments

To help node owners quickly provide action comments and improve process approval efficiency, default action comments and preset comments are supported. The default and preset comments can contain up to 50 characters each, with a maximum of 4 preset comments.

After configuration, click "Ok" to save the settings.

Notes:

1. The uploaded attachments will consume the package of File Uploads.

2. You can send up to ten attachments each time, and each attachment should be no more than 20 MB. For one single approval comment, upload no more than ten attachments.

Signature

An approver can upload a handwritten signature using electronic signing. There are two setting items for Signature: Required and Mandatory when specifying actions.

  • Required: The approver can view the button and must upload a handwritten signature before submitting the workflow.
  • Mandatory when specifying actions: The handwritten signature button must be uploaded only when performing specific node actions.

If you have uploaded a signature, it can be saved and used next time.

You can tick Required to view this function.

Note:

If an app in your mobile phone supports QR code scanning and writing, you can use it to upload a handwritten signature.

Click Save after finishing all the settings and return to the last page.

Demonstration

Submit a record with the vehicle application form.

1. On PC

Click My Tasks to check the submitted workflow, and then click it to view the approval comment you set.

The approval comment includes the text and signature. For the latter, you have to sign the signature on mobile by scanning the QR code.

A signature can be written horizontally or vertically. You can tap  to switch the writing mode.

Tick Save the signature for the next time, and you can use the signature next time.

In Processed, click the reviewed workflow to see the approval comment.

2. On Mobile

If you approve the workflow on mobile, click My Tasks, the submitted workflow, and Add Signature to upload a signature.

Click Updates to view all the approval comments so far.

Rules

1. The approval comment box has three states.

  • Disabled: The approval comment box will not be displayed.
  • Enabled (Optional): If you do not tick Required, the approval comment box will be displayed, and box filling is optional.
  • Enabled (Required): The approval comment box will be displayed, and you must fill it in.

2. In submitting, returning, or ending the process, tick Required, and the system will validate whether you have filled in the approval comment box or not. You cannot proceed without filling in the box. If you click Stash, the system will skip the validation.

3. In submitting, returning, or ending the process, you can view the approver, the node name, the created time, and the comment in the approval comment. If you have added an approval comment and clicked Stash, the comment will be invisible to others.

4. If you have added an approval comment and clicked Stash, you need to add the comments again next time when you process the stashed records.
